About ExpenseTrack.ai

Clear, organized business books from the statements you already have, so you spend less time sorting transactions and more time running your business.

Who we are

ExpenseTrack.ai is built and run by NewSunSEO, an SEO company working since 2001. We build software for small businesses, and we keep our own books in ExpenseTrack every day, including our invoicing and client payments.

That daily use shapes the product. Every feature on this site is something we rely on ourselves: importing statements, sorting expenses, matching receipts and getting invoices paid.

What ExpenseTrack does

ExpenseTrack turns your bank and credit card statements into categorized business records you can report on and export.

  • Import the original PDF statement from your bank or card company, or a transaction download in CSV, QFX, OFX or QBO format.
  • AI sorts every transaction into business expense categories. Correct one and it learns the vendor, so the next charge lands in the right place.
  • Connect a Microsoft 365 mailbox and each charge is paired with its own receipt email, matched on the exact amount and the sending merchant.
  • Recurring charges are detected automatically, with renewal reminders for your subscriptions.
  • Monthly, yearly and category breakdowns, plus exports for tax preparation and your accountant.

ExpenseTrack PRO adds invoicing alongside your expenses: client records, printable invoices, PayPal payment matching, recurring invoices for retainers, an accounting dashboard, and check or receipt scanning that reads the amounts without keeping the image.

We also offer TaxTrack, a free South Carolina business tax checkup with plain guides and county property tax rates.

How we handle your data

Your original statements are processed and then discarded. We keep only the transactions extracted from them, saved to your account so they are there when you return.

  • A statement is saved only when its transactions add up to the totals printed on it.
  • Every connection to ExpenseTrack is encrypted with TLS 1.3.
  • Check and receipt images are read for their amounts, dates and merchant, then not kept.
